A little change. Ready in moments.

Your menu,
step by step.

Change a price, mark a dish sold out, or get a new menu ready. Here’s how to do it, from your first sign-in to the final check.

The screenshots use our BuiltBy2 example menu. Your branding, menu names and available dietary labels may look different; the editing steps are the same.

01 / EditWork on a private draft

Make changes without changing the menu your guests see.

02 / PreviewCheck it at your own pace

Review the whole draft on a desktop or phone-sized screen.

03 / PublishChoose when it goes live

An owner publishes the approved update to the same menu link.

What your guests see

Your public menu is a website. Guests open its link without signing in or installing an app.

The customer view. Select the image to open it full size.
  1. Menu tabs let guests move between your food, drinks and other menus.

  2. Dietary filters help guests browse the labels your team has confirmed.

  3. Guests see your last published dishes, descriptions and prices.

Share your public menu link on your website, QR codes or social profiles. Routine menu updates keep that link the same.

The workspace is separate.

Only people with access to your business can edit its menus. A customer opening the public link cannot change anything.

Sign in to your workspace

There’s no password to remember. We send a secure sign-in link to the email address that has been given access.

  1. Open the menu workspace sign-in page. Enter the email address we set up for your business and choose Send sign-in link.
  2. The Check your inbox page confirms the address you entered. Leave it open while you check your email.
  3. Open the newest BuiltBy2 sign-in email and select Open menu workspace. Each link is for one use.
  4. Your workspace opens with your menu draft. If your account has access to more than one business, check Working on before making a change.
No email yet?

Give it a minute and check junk or spam. The confirmation screen has a short countdown before you can request another link. Use the newest email after resending. Choose Use a different email address if you spotted a typo.

Keep sign-in emails private. On a shared computer, wait for your draft to save and use Sign out when you’ve finished.

Edit dishes and prices

Choose the menu tab you need, then click or tap directly into a dish name, description or price.

BuiltBy2 editing workspace showing menu tabs, editable dishes, prices and the save status
Your private workspace. Select the image to open it full size.
  1. Choose a menu tab. A category, such as Small plates, groups the dishes within that menu.

  2. Update the dish’s fields directly. For a price of £8.50, enter 8.50 in the price field.

  3. Check the save message in the header. Wait for a cloud-save confirmation before you leave.

  • Add a dish: choose Add item within the right category, then fill in its name, description and price.
  • Make a temporary change: use the dish’s Status control. You can change it back later.
  • Remove a dish: use its remove control and read the confirmation. For something returning soon, hiding it is usually easier.
  • On a smaller screen: scroll the editing table sideways to reach fields further along the row.
Available
The dish appears normally on the published menu.
Sold out
The dish stays visible with a sold-out message.
Hidden
The dish is kept in your editor but omitted from the public menu.
Saved does not mean published.

Your changes save to a private cloud draft. Guests continue seeing the previous publication until an owner chooses Publish changes, including changes to prices and sold-out status.

Organise your menus

Menus are the main tabs guests choose between. Categories are the headings that organise dishes inside each menu.

  • Rename: change Menu name at the top of a menu, or edit a category’s heading.
  • Add: choose New menu for another menu tab, or Add category for a new group of dishes.
  • Reorder: use the dotted move handles on menus, categories and dishes. Check the result in Preview menu.
  • Serving times: use When it is available to describe the days and times that menu is served.
  • Show or hide a whole menu: use Customer visibility. Scheduled adds dates for a future or seasonal menu; check those dates before publishing.

Removing a category also removes its dishes from the draft. Read the confirmation before continuing. Keep at least one menu with a visible item available for guests.

Planning a seasonal change?

Prepare it in your draft, check every menu in preview, and publish when ready. Publishing applies the complete draft, not just the tab you have open.

Dietary labels and menu notes

Keep dish-level information with the dish, and shared messages and business details in Menu notes.

Dietary labels and allergens

Tick the relevant dietary labels in each dish’s row. Enter its allergens in the Allergens field, separated by commas, for example “milk, nuts”.

Only add information your team has checked. Labels such as “vegan available” describe an option on request and are different from labelling the standard dish vegan.

Menu notes

Open Menu notes beside How to use. Update the shared allergy message, service-charge wording and other customer-facing notes there.

If Show on menu is enabled for the allergy notice, it needs a message before the menu can be published.

Business contact details

The same page contains the address, town or city, postcode, phone number and contact email. Check them carefully: they feed the customer-facing contact and directions links.

Preview the footer after editing, then check its links on the public menu after publishing.

Design and imagery

The editor is for day-to-day menu content. For changes to the main banner, photographs, branding or overall design, contact BuiltBy2 and we’ll help.

Your existing menu design stays in place as you update dishes and prices.

Keep the conversation with your guests.

Dietary filters help people browse; they don’t replace speaking to your team about allergies. Review labels whenever ingredients or preparation change.

Check desktop and mobile

Choose Preview menu in the workspace header. You’ll see your current draft in the customer layout, before guests see the changes.

  1. Use Desktop or Mobile at the top right to check both layouts. Close preview returns you to the editor.

  2. Switch between every menu, then scroll down to check prices, dietary information and the footer.

A quick pre-publish check

  • Are the names, descriptions and prices right?
  • Are sold-out and hidden items set as intended?
  • Are dietary labels, allergens and serving times correct?
  • Do the contact details and menu notes read clearly?
  • Does everything read comfortably in Mobile view?

Hidden and scheduled content is marked in draft preview so you can review it. It may not be visible on the public menu.

Mobile preview is a useful size check. It’s still worth opening the published link on your own phone for a final look.

Publish your changes

Once you’ve checked the complete draft, an owner can make it the menu your guests see.

  1. Close preview and choose Publish changes.
  2. Give the version a useful name, such as “Autumn menu” or “Friday price update”.
  3. Select Publish version and wait for confirmation. If the editor asks you to correct a field, make that change and try again.
  4. Open your public menu link and check the update. Your website button and QR codes keep using the same link.

Naming a publication makes it easier to find later. Select the image to open it full size.
  1. Give this complete menu update a name you’ll recognise in Version history.

  2. Publish version is the step that makes the draft public.

If Publish changes is unavailable because of your account permissions, an owner of your business needs to publish it. Contact us if the wrong access level has been assigned.

Return to an earlier version

Version history keeps your published versions. An owner can bring an earlier one back into the draft to review it.

Version history in the BuiltBy2 workspace. Select the image to open it full size.
  1. Find the version by its name, version number and publication date.

  2. Restore as draft brings back that version for review. It does not publish it.

  1. Open Version history and find the publication you want.
  2. Select Restore as draft. Read the confirmation: this replaces the entire current draft, including changes you haven’t published.
  3. Review the restored draft and make any adjustments.
  4. Preview it, then publish a named version when you want guests to see it.
Version history records publications.

It isn’t a history of every keystroke or every autosave. Customers keep seeing the current publication while you review a restored draft.

If you need a hand

The message in the workspace usually tells you what needs attention. These are the most common next steps.

My sign-in link doesn’t work

Links can expire or have already been used. Return to sign-in, request a fresh link and open the newest email. Check that you’re using the email address we granted access to. If the problem continues, contact us instead of repeatedly requesting links.

My changes aren’t on the public menu

First check whether you’ve published them: saving a draft alone doesn’t update the public menu. After a successful publication, refresh the public page. Check item status, menu visibility and scheduled dates if something is missing.

The draft won’t save

Keep the editor tab open. Check your connection and read the save message; correct any highlighted fields, then choose Retry saving if it is offered. If your session has ended, sign in again as prompted.

The editor may be able to recover recent work in the same browser, but this depends on your browser’s storage settings. Don’t rely on it as your only copy or clear browser data while recovering work. Contact us if a cloud save still won’t complete.

A newer draft has been saved elsewhere

Another tab or person may have updated the draft. Choose Download backup to keep a copy of your changes, then Reload latest draft. Compare the work before deciding what to keep; BuiltBy2 can help with the backup.

If browser recovery is offered, Keep latest draft keeps the cloud version. Recover browser changes can replace that newer draft: read the warning carefully and only confirm if that is what you intend. The customer menu stays unchanged until you publish.

Publishing is blocked

Check the message for missing dish names, prices, contact details, allergy wording or dates. There must be a menu with a visible item available for customers. An owner must publish the update.

I can’t see my business

Check the email address you signed in with. Access is assigned to each business, so another email account won’t automatically see the same menu. Ask BuiltBy2 to check your access.

I want help with a change

Email support@builtby2.co.uk with your business name, what you were trying to do and the exact message you saw. A screenshot can help; leave out sign-in links. We’re happy to talk you through your first update or help with design changes.
